Discounted Hotel Rooms
The Secretariat is the official Housing Bureau for the Symposium and has no affiliations with any third-party booking platforms or travel agencies. The Secretariat has secured special room rates for Symposium delegates. The significantly discounted rates are only available to Symposium delegates through the registration site and are subject to availability. Large conferences often become targets for companies seeking to take advantage of delegates. Delegates should be aware that any other companies contacting them to sell hotel rooms for the Symposium are doing so fraudulently. Suspicious activity should be reported via email ([email protected]) to the Secretariat.

Delegates can log into their registration until Friday, March 28, 2025, to book a hotel room depending on availability. A valid credit card is required to secure the hotel room. The expiry date of the credit card must be valid through May 2025. The credit card will not be charged at the time of booking. Hotel rooms can be cancelled up to 72 hours prior to arrival. Within 48 hours, a cancellation fee of 1 night plus fees and taxes will apply.

Any requested changes to hotel bookings must be submitted via email ([email protected]) to the Secretariat unless instructed otherwise. The bed type can be requested during registration and is not guaranteed until closer to the Symposium. A hotel confirmation email containing the hotel booking details and hotel confirmation number will be sent to delegates approximately 1-2 weeks prior to the Symposium. Delegates are advised not to contact the hotel to request information or changes earlier than 1-2 weeks prior to the Symposium as the hotels will not have their information yet and will not be able to assist them.
